About the Role

We are looking for a high-caliber Executive Assistant to serve as a strategic partner to executive leadership and drive operational excellence across a fast-growing Philippine business group in the real estate services and flexible workspace industry.

You will serve as a trusted extension of executive leadership, ensuring that priorities, initiatives, and strategic decisions are effectively communicated, executed, and monitored throughout the organization.

This role goes far beyond calendar management or administrative support. You will help drive business performance by coordinating key projects, monitoring departmental execution, facilitating leadership alignment, and ensuring that critical initiatives remain on track.

This is a critical leadership position for a highly organized, business-minded operator who thrives in driving execution, ensuring accountability, coordinating cross-functional initiatives, and transforming strategic plans into measurable business results.

You will work closely with department heads, business unit leaders, and executives to ensure accountability, visibility, and operational discipline across the organization.

Key Responsibilities

1. Executive Leadership Support & Strategic Execution

· Partner closely with executive leadership on strategic priorities and business initiatives

· Translate executive direction into actionable plans and measurable outcomes

· Track execution of key business objectives and strategic projects

· Ensure organizational priorities are aligned across departments

· Identify execution risks and proactively recommend solutions

· Serve as a trusted advisor and sounding board to executive leadership

2. Cross-Functional Project Management

· Lead and coordinate company-wide initiatives involving multiple departments

· Ensure projects are delivered on time, within scope, and aligned with business objectives

· Monitor milestones, deliverables, and dependencies across teams

· Facilitate collaboration between departments to resolve bottlenecks and execution gaps

· Provide regular progress updates to executive leadership

3. Organizational Accountability & Performance Monitoring

· Monitor departmental commitments, action items, and operational deliverables

· Ensure leaders and teams remain accountable for agreed objectives

· Follow through on key decisions and ensure timely execution

· Escalate risks, delays, and operational concerns when necessary

· Drive a culture of ownership, accountability, and results

4. Executive Communications & Stakeholder Coordination

· Prepare executive briefings, reports, presentations, and business updates

· Facilitate leadership meetings, management reviews, and strategic planning sessions

· Ensure clear communication and alignment across leadership teams

· Coordinate with internal and external stakeholders on high-priority initiatives

5. Operational Excellence & Process Improvement

· Assess organizational processes and identify opportunities for improvement

· Develop systems that improve efficiency, visibility, and accountability

· Establish project management and reporting frameworks

· Support organizational transformation and change management initiatives

· Drive continuous improvement across business operations

6. Leadership Meeting Governance

· Facilitate executive meetings and leadership reviews

· Document key decisions, action items, and accountabilities

· Monitor completion of commitments made during meetings

· Ensure leadership decisions are effectively implemented throughout the organization

7. Special Projects & Business Initiatives

· Lead strategic and confidential projects assigned by executive leadership

· Conduct business research, analysis, and recommendations

· Support expansion initiatives, partnerships, and organizational development projects

· Provide operational support during periods of business growth and transformation


Ideal Candidate Profile

We are looking for a strong business operator, not merely an executive assistant.

Non-Negotiables

  • Bachelor's degree in Business Administration or any related courses.
  • 5+ years of progressive experience in operations, project management, business management, consulting, executive support, or organizational leadership
  • 3+ years of experience working directly with senior executives, founders, CEOs, or business owners
